The good news is that with this year-end there won't be major changes to the W-2 process. Thankfully, changes are isolated to only a few specific areas. The W-2 form has been modified to move the employee social security number away from the envelope window for security purposes. An additional record has been added to the EFW2 specifications. The RV record has been added for state purposes.
For those of you who have migrated to either 2.4.1 or 3.2 in the last year, you will have the benefit of enhancements to the W-2 process done over the past two years. We did an overhaul on the W-2 form itself and provided the ability to print the entire form and data using Adobe Acrobat ® . The new “My W-2” page that provides your staff with an archive of past W-2 forms has also been well received. In addition, the “My W-2” page also allows employees to print their own W-2 via self service. We've been told that eliminating the need to dig through hard copies has been a huge leap in productivity.
If you're new to Vista and this will be your first year-end, we strongly recommend that you participate in our Year-end Seminar. For your convenience, this critical learning opportunity is offered as a web seminar. Both U.S. and Canadian seminars will now be available through a simple internet connection that will allow you to participate from your office.
We have found in past years that customers who attend one of the PDS Year-end Seminars experience a relatively smooth year-end process when they apply our recommended procedures. The seminar offers many reminders of the tasks that need to be completed for a successful year-end. Many customers have found that because they only perform the year-end process once a year, it is very beneficial to attend this seminar each year.
The Year-end Seminar is recommended for new customers and new employees who are processing year-end in Vista for the first time. This seminar is conducted in one (1) four-hour session. The cost of the Year-end Seminar is $300.00 USD per web connection. For example, if you have 5 employees in a conference room viewing the presentation from one (1) computer, the total cost is $300.00. Conversely, if you have 3 employees connecting from three (3) individual computers, the total cost is $900.00.
