As Human Resource and Payroll professionals
it is essential for all of us in the business to have
the tools necessary to accomplish our jobs with the
greatest efficiency. With the ever-changing world that
we live in, our tasks seem to pile up on a perpetual
basis.
Let’s talk about one of those
tasks that we are given as professionals in our field.
Whether it is the new minimum wage increase
that is awaiting the president's signature or just a
normal across-the-board annual merit increase, PDS has
the tools to empower the user to accomplish these tasks
with ease.
PDS has multiple ways to accommodate
pay changes — either the single “Go into
the associates Pay Rates” drop down and add a
new rate, or by using our Wage Progression method. Either
is simple to use; however, the Wage Progression option
might not fit every organization. Wage Progression uses
a matrix grid of pay rates, with pay steps within pay
grades. Automatic wage progression is performed based
on a period of time within each step. If you are using
Wage Progression, you can switch from the automatic
Wage Progression and use the manual Wage Progression
to increase your associates immediately (from one pay
step to the next).
This article includes examples of the
Vista utility, Mass Pay Increase, which
can be found in the Vista desktop client and browser
versions. The examples used for both are for a minimum
wage increase but certainly could be used for pay increases,
such as a four percent increase for a single person
or a group of associates.
Doing a Mass Pay increase from the
desktop is quite simple. You need to build a CSV file
containing the affected associates’ person_ids.
You can use any query tool to extract a list of appropriate
person_ids. You will retrieve this file when doing your
update as shown.
Please note that the following example basically applies
to both Vista 3.2 and Vista 2.4.1.


From here you’ll look in the
directory where you put your CSV file.
You'll then see a list of the employees,
(or in this case our test employees) that will receive
the increase.
You’ll also need to populate
the effective date, pay reason, and amount of the increase.
Turn off "Automatically Commit
Changes" to review the results before
updating the employee records. After you process the
pay change, you can display a report that includes the
detailed results, before committing the pay changes
to the database.

As you can see, we would have populated
the Vista database table, EMPRATE, with the updated
amounts. The Mass Increase utility also updates Pay
Increases data and Life-to-date History, assuming that
history triggers are turned on for those tables.

In
Vista 3.2 we can also do this via the browser
First you need to create your groups.
You do this by going into the H/R application, and then
selecting “Organizations”. Next you have
to click the button
to the far right to create your new group and add your
associates to that group.

You can automate the individuals to
include in the group using a view to extract a list
of appropriate employees. For more information on using
views to populate people groups, search for "Using
Views To Populate People Groups" in Vista HELP.
All the details, including examples, are provided within
HELP.
You can also manually select employees
for the group. Once you've added or opened a group,
go to the actions drop down and select associates to
add to the group.
You can view afterward to see who is
in that group.

Next you need to go to the Payroll
application and “Processing” and go to Mass
Pay Update.


Again, you can see that we will update
the appropriate accumulators by simply putting our associates
in a group and running them through a Mass Pay Change.
